Executive Administrator, Regional Operations, Imaging, and Radiation Oncology – Regional Oncology Admin – Full Time 8 Hour Days (Exempt) (Non-Union) – (Los Angeles, California, United States)

The Executive Administrator, Regional Operations, Imaging, and Radiation Oncology is a key executive of USC Care Medical Group and Keck Medicine of USC. This position is responsible for developing and implementing strategic direction of the operations, planning, administrative, fiscal, and technical activities. The Executive Administrator will lead ongoing strategy development, identifying and evaluating strategic and performance improvement opportunities to ensure the efficient direction and sustained growth of Ambulatory Regional Practices owned, licensed, free-standing, and managed by Keck Medicine of USC. This position will have oversight of direct clinical ambulatory operations, and management of a variety of strategic partnership arrangements (JV, LLC, PSA, MSA, etc.) in support of advanced clinical offerings in the regional markets, to include ancillary diagnostic services (cardiac/imaging), ambulatory surgery, and radiation oncology. This position will leverage USC Care and Ambulatory management expertise in priority markets, and expand services through facilities, partnerships, and physician relationships. As a direct report to the Chief Executive and through collaboration with the executive leadership of the Medical Group (EAs, CFO, CNO, CMO, Chief Ambulatory Officer), this position directly oversees the full array of clinical, ancillary and support services for the clinical practices in the regional locations. This position fosters a culture of excellence by providing thought leadership and subject matter expertise to align strategies, processes, practice and education around patient/customer experience, barrier free access, and a standardized operational approach to all clinic workflows. This position is charged to lead ambulatory operations across Keck Medicine of USC that create and support exceptional patient access and service, provider and staff satisfaction, growth and volume management, process and technology innovation, and strong financial performance with superior efficiency and productivity. This individual will work closely with the operational and clinical leaders across Keck Medicine, including USC Care clinical faculty and staff physicians, and the Keck School of Medicine Clinical Chairs to ensure optimal ambulatory service strategies are developed, implemented, and sustained to support seamless patient service across Keck Medicine’s ambulatory sites of care. The position requires strong physician practice management skills within an ambulatory setting. This person also ensures the delivery of comprehensive, high-quality patient-centered medical care, meeting the standards of all regulatory and licensing agencies and carries out all ambulatory care services according to the established policies of Keck Medicine of USC as approved by the USC Care Medical Group Board and USC Health Board of Trustees.

Essential Duties:

  • Strategic/Leadership: • Oversees and leads the execution of strategic initiates, innovative, and operational aspects of regional ambulatory services and management of strategic partnership arrangements (JV, LLC, PSA, MSA, etc.) ◦ Developing strategy ◦ Improving care delivery ◦ Fostering best practices • Managing from a system’s perspective and transforming organizational values into daily operations yielding an inspiring, effective, and caring organization • Supporting and building trusted provider relationships, identifying issues and opportunities • Managing, growing, and building relationships with a team of directors, managers, and supervisors. • Overseeing and collaborating on day-to-day operations of Keck Medicine of USC’s ambulatory clinics and ancillary diagnostic (cardiac/imaging) and therapeutic services (radiation oncology), including licensed, free-standing, and non-licensed sites across specified regional markets • Areas of direct responsibility will be all ambulatory areas in specified regional portfolio • Directs administrative operations through subordinate managers, supervisors, and professional staff. Develops new programs and processes to enhance operations and generate revenue through savings or income production. Oversees special projects as assigned. • Provide executive level direction and support for the respective department. • Establishes and implements tactical and operational plans for the sub-function, with impact on the achievement of unit results.
  • People: • Mentors and act as role model for management, providers and clinical and non-clinical staff in a manner which emphasizes the importance of teamwork, collaboration, and accountability. • Promotes proactive sharing of information, resources, and best practices amongst stakeholders across the ambulatory sites of care in order to meet defined goals, objectives, and performance metrics. • Recruits, develops and mentors leaders and staff so that they are skilled, effective and fully capable of executing the responsibilities and expectations of their positions. • Continuously develops clinical and non-clinical staff, both personally and professionally, through leadership and coaching. • Responsible for collaborating with key stakeholders to ensure consistent patient care and service coordination between all ambulatory clinics. • Responsible for ambulatory clinic operations in specified regional portfolio. • Works collaboratively with the USC Care Medical Group leadership team, Medical Center administration leaders, and clinical Dept. Chairs to execute enterprise initiatives related to clinical capacity, provider capacity and clinic experience, and creates standard protocols/policies related to clinical efficiencies. Solves for systemic issues by partnering with the appropriate cross-functional teams. Takes personal ownership to resolve customer service issues with the highest degree of integrity, discretion and urgency. • Leads team to assess all ambulatory clinic operational processes to ensure a positive, consistent patient experience. Manages the standardization of front-end ambulatory practices throughout Keck Medicine. • Ensures appropriate and consistent policies, procedures, and education across Keck Medicine ambulatory practice sites. Collaborates with CFO and senior leadership in Revenue Cycle to define and execute deliverables. • Manages the operating of ambulatory operations. Aggressively mitigate all variances to budget. Make sound decisions on best use of resources in support of patient access priorities and strategies.
  • Quality and Safety • Leverage process improvement techniques (i.e: LEAN) to improve clinic operations. • Strategically develop, refine and improve clinic performance metrics by driving performance against a standard, well defined set of metrics. • Maintains and improves ambulatory operations by monitoring performance; identifying and resolving problems; preparing and completing action plans; managing process improvement and quality programs.
  • Growth and Innovation • In collaboration with group and hospital executives, and aligned with strategic plan, designs and develops new Clinical programs and services, including service line development and strategy. • Develops and implements processes to strategically quantify and increase the percentage of visits to optimize capacity and access. • Maintains professional and technical knowledge by tracking emerging trends in ambulatory operations management; attending educational workshops; reviewing professional publications; establishing personal networks; benchmarking state-of-the-art practices; participating in professional societies. • Integrate Keck Medicine’s strategic plan into ongoing ambulatory operations to meet the goals of the health system.
  • Other • Promote and assist in ensuring a cultural of inclusion and diversity within the ambulatory operations. • Serves as a critical member of the medical group and medical center leadership team and CEO Cabinet and services on a variety of institutional committees, task forces and boards as requested. • In addition to the above job responsibilities, other duties as needed. • Establishes and maintains appropriate network of professional contacts. Attends meetings, seminars and conferences, makes formal presentations.

Required Qualifications:

  • Req Master’s degree Requires a Master’s degree in Health Science Administration, Public Health or related field.
  • Req 10 – 15 years Leadership Experience in a multispecialty clinic practice environment. * This experience must include health care practice senior management roles with operations and strategic planning.
  • Req Proven experience in: – Matrix organization, service line and operations integration in hospital + health system. – Cancer care services (including radiation oncology) and imaging – Building ambulatory patient care centers and multi-specialty clinics
  • Req Strong leadership and influencing skills and the ability to gain the respect of, and build a rapport with, multiple constituencies, internally and externally.
  • Req Ability to direct development of long-term plans and budgets and align plans with project roadmaps and business requirements.

Preferred Qualifications:

  • Pref Master’s degree Nursing Or Other Clinical Degree preferred.
  • Pref Experience with Academic Medical Centers preferred.
  • Pref Joint Venture/3rd Party PSA/MSA, and acquisition experience preferred.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The annual base salary range for this position is $220,064.00 – $363,105.00.
