Home Department Payroll/Personnel Coordinator I – (Los Angeles, California, United States)

One of the largest departments in USC’s Keck School of Medicine, the Department of Medicine is seeking an energetic, friendly, customer service -oriented professional to fill a HD Payroll/Personnel Coordinator I role. 

Under the direction of the current HR Payroll team, the coordinator will assist in providing expertise and guidance to the department’s 11 divisions and their related sub-units.  Candidate will also coordinate recruitment, onboarding, and support HR and Payroll projects. The successful candidate will provide a wide variety of payroll and/or personnel services for the department with minimal supervision.  Candidate will prepare, review and process payroll and personnel reports.

Responsibilities include but are not limited to the areas below. Special projects and other duties as requested.

Accountabilities:

  • In conjunction with the current HR and Payroll team, serves as a contact for HR and Payroll topics to staff and faculty, and as a liaison for KSOM HR and University HR-related functions.
  • Assists with payroll-related responsibilities.  Tasks include assisting faculty, staff and students on entering/approving time in Workday, process check requests, reconcile pay results, adjusting payroll allocations
  • Provides feedback and prepares paperwork to open and post positions, assists supervisors with candidate screening, and implements best recruitment practices.
  • Run Time Tracking reports and assist with timesheet approvals
  • Assists with completion of onboarding including obtaining signed personnel documents for KSOM HR upload, ensure staff completes Workday (personnel system) items, completes I9 and assist with Foreign National reverification. For temp staff and some volunteers, submit position management requests, request ivip.
  • Asist with the hiring and employment process
  • Assist with meeting with new hires and employees regarding paperwork completion and file preparation.
  • Serve as a liaison between the department and central payroll/personnel offices
  • Assist with yearly personnel budgeting entries in Beacon.
  • Assist with costing allocation entries and verifications
  • Produce and run various Workday payroll reports
  • Other duties as assigned.

Ideal Candidate will have:

  • Ability to maintain a high degree of confidentiality
  • Customer Service Oriented
  • Excellent Communication Skills: Written and Oral
  • Excellent Customer Service Skills; excellent interpersonal skills including the ability to deal with complex and sensitive issues and personalities
  • 3+ years supporting Payroll and/or Human Resources activities
  • Recruitment Experience a Plus
  • Must be Proficient MS Office Outlook, Word, and Excel.
  • Detail Oriented and high degree of accuracy: ability to identify variances, typos, etc.
  • Work with a sense of urgency

Rate Information:

This position will be Non-exempt and Hybrid-Flex.

The hourly rate range for this position is $28 to $30.75.

Other Information:

Preferred Education: Bachelor’s Degree

Preferred Experience: 5 years of personnel and payroll management experience

Preferred Field of Expertise: HR and Payroll experience in a university setting 

Exceptional communication and interpersonal skills; written and verbal; required

Payroll experience preferably in a university setting.

Knowledge of USC HRIS systems; Workday, the Student Information System (SIS), Beacon, and College Work-Study (CWSP).

Minimum Education: High school or equivalent
Minimum Experience: 2 years
Minimum Field of Expertise: Skilled in payroll or personnel processing with knowledge of applicable federal, state, local laws and regulations. Ability to establish and maintain accurate payroll and personnel records.
