As an integrated part of the department, this position provides coordination of office flow and activities. Offers support in coordinating and maintaining files and data activities in an efficient manner. Provides clerical support to the department staff.
The Managed Care Office Coordinator provides administrative support, to the managed care contracting team including, but not limited to, scheduling and coordination of meetings/seminars/travel, coordinating priorities throughout the day, perform independent and collaborative projects as needed. Provides administrative/secretarial support to the USC Care managed care contracting unit including, but not limited to, scheduling and coordination of meetings/seminars/travel, coordinating priorities throughout the day, perform independent and collaborative projects as needed. Individual will help manage various aspects of the provider enrollment and monthly roster update process with third-party managed care payers. Provides support to various internal and external units to research and resolve provider enrollment issues. Provides support to managed care contracting team to negotiation basic agreements, as assigned. Coordination of signatures and corporate filing of fully executed agreements. Maintains contracts database.
Essential Duties:
- Responsible for coordinating schedule, including arranging meetings and appointments
- Responsible for the timely communication of new providers with commercial payers and complying with complex and diverse payer enrollment policies
- Completing regular follow up with the payers to ensure providers have been added. Ensures practice information is current with health plans, agencies, and other entities
- Maintain and update payer demographic information in managed care database.
- Assisting with auditing payer directories for current and accurate provider information.
- Following up with payers to ensure timely application processing/provider enrollment
- Work with internal billing team, credentialing team, and customers to share approvals and work through denials and appeal processes
- Facilitating payer calls to address contracting and credentialing issues
- Assist with delegation of credentialing agreements and payer attestations.
- Responsible for filing and maintaining records pertinent to the functions of the Operations Team.
- Maintain and update weekly contract list to SharePoint site.
- Create spreadsheets and tables, utilizing functions (formulas) and manipulating the data to retrieve desired information.
- Responsible for coordination and tracking of work flow, schedules and projects to ensure work is complete/appropriate, and follow-up is completed in a timely fashion.
- Responsible for using sound judgment when complications arise outside the scope of authority, such as the need for deadline augmentation, and bringing these to the attention of the appropriate Administrative Representative(s) in a timely manner.
- Responsible for maintaining security of information: e.g. patient medical records, hospital financial information, salary, staff and legal information in a confidential nature.
- Create spreadsheets and tables, utilizing functions (formulas) and manipulating the data to retrieve desired information.
- Provides administrative/secretarial support to the department. Participates in the preparation of special projects.
- Performs other duties as assigned.
Required Qualifications:
- High school or equivalent
- 2 – 3 years Coordinator or administrative assistant experience in managed care, contracting, or other healthcare administration.
- Excellent organizational skills, detail oriented with strong ability to multi-task required.
- Proficiency with Microsoft Office applications and competent keyboarding is required.
- Ability to maintain confidential information required.
- Must have excellent verbal and written communication skills (including the ability to speak, read and write English proficiently.)
Preferred Qualifications:
- Bachelor’s degree In a related field.
- Provider network and/or provider enrollment experience in a medical group or health plan preferred
- Managed Care Experience preferred
Required Licenses/Certifications:
- Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
The hourly rate range for this position is $22.00 – $34.18.
