Member Services and Operations Manager

University Advancement is seeking an Member Services and Operations Manager to join its USC Associates team. The office manager will operate as the first point of contact for all incoming internal and external inquires, managing communications and operations for the University’s premier giving society – USC Associates, and reports to the Senior Associate Director.

The ideal candidate will be highly motivated to thrive in a dynamic, fast-paced environment, and has proven experience meeting deadlines and goals independently. They should have the ability to build productive relationships, high attention to detail, and excellent written and verbal communication skills. Experience operating in higher education is a plus.

This is a hybrid position under our current work arrangement plan, with the expectation of on-site presence in our downtown Los Angeles office (USC Tower) and main campus (University Park Campus). This position includes the expectation of some evening and weekend work, as needed.


  • Provide high-level administrative support to the USC Associates team.

  • Manage Associates program phone calls and email inbox

  • Maintain office/program inventory

  • Coordinate team meetings, including calendar and meeting room management

  • Hire and oversee student workers and student projects

  • Track and update memberships in Salesforce Giving Societies (maintain accurate, detailed numbers including upgrades, new, and canceled members)

  • Create membership reports using Excel and PowerPoint

  • Membership renewal management (reminders, late renewals, follow-up, exceptions, etc.)

  • Marketing Cloud analytics and DE management

  • Establish new member onboarding protocol

  • Own member touchpoints (birthdays, other touchpoints)

  • Support program courtesies

  • Provide program support

  • Support Daily Gift Reports (member gifts)

  • Operate as the Campus Cards and Transportation liaison

  • Administer parking usage reports

  • Assist at USC Associates events including USC home football pre-game picnics

  • Performs other related duties as assigned.

Minimum Qualifications

  • Bachelor’s degree.

  • At least 3 years of related administrative and operational experience.

  • Demonstrated ability to build bridges and strong collaborative relationships across a complex organization with astuteness and agility.

  • Demonstrated excellence in interpersonal and communications skills.

  • Demonstrated commitment to diversity, equity, and inclusion.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Strong problem solving and analytical skills.

Preferred Qualifications

  • At least 5 years of related administrative and operational experience, preferably in development.

  • Experience working in higher education.

The budgeted salary range for this position is $70,000 – $75,000. When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope and responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.
