Program Assistant, Corporate and Professional Programs, Viterbi Admission and Student Engagement, USC Viterbi School of Engineering – (Los Angeles, California, United States)

The Viterbi Admission and Student Engagement Office supports the lifecycle of undergraduate, graduate, and non-degree continuing education students in the USC Viterbi School of Engineering. Program areas include recruitment, admission, enrollment, academic support, engagement, and career services for all engineering students.

The Corporate and Professional Programs area within Viterbi Admission and Student Engagement leads the development and offering of non-degree continuing engineering education programs and the recruitment and conversion efforts for DEN@Viterbi (online) students.

Corporate and Professional Programs is seeking a Program Assistant (one-year fixed term) for continuing education offerings and overall administrative support. Under the direction of the Program Administrator for Corporate and Professional Programs the individual will assist with the planning and implementation of continuing education programs for organizations and companies, lead business processes for the area, and support overall Corporate and Professional Program initiatives. The ideal candidate is a proactive and responsible individual who can work in a fast-paced environment.

Primary Responsibilities Include:

  • Serve as logistics point of contact for all non-degree, continuing education programs

    • Identifying training spaces and room reservations

    • Manage course materials ordering and dissemination to students

    • Send program preparation emails to faculty and students

    • Coordinate all online programs with DEN@Viterbi Staff

  • Manage DEN@Viterbi Online Infrastructure (Learning Management Systems) for non-degree programs

  • Manage non-degree program enrollment and registrations

    • Update online course registration pages

    • Process all online and manual student registration

  • Lead host for on-campus and off-site programs

  • Manage food orders, parking, standards, certificate processing, etc.

  • Manage all program accounting (deposits, payments, invoicing, and refunds)

  • Manage Corporate and Professional Program business processes and payments to all vendors

  • Track and manage payments received by clients

  • Develop faculty courseware agreements

  • Submit overload approvals to academic departments

  • Submit faculty payment requests and track with Viterbi Business Affairs office for payment confirmations

  • Support all program functions as needed for identified offerings (on-site and on-campus)

  • Support programs offered in the evenings and on weekends; remaining flexible with program offerings

  • Manage faculty travel reimbursements

  • Manage faculty travel arrangements, as needed, for off-site programs

  • Serve as the USC Tower 15th floor primary point of contact (as needed) for liaison with business manager and other Viterbi units

  • Supervises: Student Workers

Additional Information:

This is a hybrid position. The Program Assistant will be expected to work onsite for a minimum of 3 days per week. This position is not eligible for fully remote work. Additionally, please note that the Program Assistant must be available to work nights and weekends on an occasional basis to support programs that take place outside of regular business hours.

The hourly rate range for this position is $24.30 – $25.98.  When extending an offer of employment, the University of Southern California considers factors such as (but not limited to) the scope of responsibilities of the position, the candidate’s work experience, education/training, key skills, internal peer equity, federal, state, and local laws, contractual stipulations, grant funding, as well as external market and organizational considerations.

Preferred Qualifications:

Minimum Education: Bachelor’s degree, Combined experience/education as substitute for minimum education

Minimum Experience: 1 year, Combined education/experience as a substitute for the minimum experience. Proficiency with Microsoft Office and database systems.

Preferred Experience: Familiar with Adobe Suite (Illustrator, Photoshop, etc.), content management systems, customer relationship management tools, and email communication software.  

Minimum Field of Expertise: Administrative support services
