Program Manager – Care for the Caregiver – Full Time 8 Hour Days (Exempt) (Non-Union) – (Los Angeles, California, United States)

The Program Managers is responsible for the fulfillment of organizational programs by coordinating activities in order to execute quality and improvement programs. They will provide strategic guidance to teams and program stakeholders and will oversee the progress of program operations. They are responsible for management of the program, giving detailed attention to strategy, project delegation, and program implementation. The position also assists in the deployment of support tools and ensures that they are effectively used on an operational basis. Manage communication, program roll out and program facilitation as assigned.

Care for the Caregiver supports our Keck Medicine of USC healthcare workforce by helping to create an environment where staff, faculty, and trainees can thrive and provide outstanding patient care. Care for the Caregiver is seeking a Program Manager to support all the programs within the Care for the Caregiver office including but not limited to Schwartz Rounds, Debriefs, Caregiver Emergency Fund, Relaxation Therapy, Peer Support, and Movement. The Program Manager will assist with programmatic development, metrics for measuring success, goal defining and tracking, and executive reporting.

Essential Duties:

  • Organize, coordinate, implement and track results of current Care for the Caregiver programs. Programs include, but not limited to: • Thrive Study – A randomized controlled trial that will explore several approaches to improve the well-being and job satisfaction of clinicians and providers. ◦ support communication efforts of the study and help to maintain the recruitment list • Peer Support – An opportunity for caregivers to process emotional events to expedite recovery. ◦ assign and track peer support outreaches, connect with peer supporters to receive completed paperwork, analyze outreaches and % of acceptances, support content creation and note taking for monthly meetings • Schwartz Rounds – Grand Rounds focused on understanding the staff experience from a social and emotional point of view. Bi-monthly panels that are open to the entire health system. ◦ support the committee with selecting panelists, manage logistics for each panel, and engage with survey results to support program growth • Support Groups and Workshops – Debriefs after critical events or cumulative stress and tailored workshops. ◦ support Clinical Director with scheduling and logistics, as necessary, and create new workshops, as requested • Relaxation Therapy – 10-minute chair massages that visit locations monthly and are brought directly to the unit/team. ◦ maintain calendar of requests, work with managers to get all necessary information, and support massage therapists, if issues arise • Caregiver Emergency Fund – Financial assistance to Keck Medicine of USC staff and faculty who are experiencing an emergency. ◦ connect with caregivers to get follow up information from their application, liaison with development and partners to ensure funds are properly dispersed to caregivers, track all grants • Smile Cart – Snacks provided to staff and faculty to spark small moments of joy during stressful workdays. • Support the current program and potential expansion of the Smile Cart program to other entities throughout the health system
  • Work with Program Director to identify needs of healthcare workers and develop new programs that will continue to support the healthcare workers at Keck. • Survey the satisfaction and effectiveness of current programs • Conduct needs assessments to understand gaps • Create new programs as a result of staff and faculty feedback
  • Support with the mapping, survey design, and strategy for debriefs and action planning of the culture and engagement survey for providers. • Support Care for the Caregiver’s efforts to understand how the staff and faculty feel about the culture and workplace environment • Support the survey mapping process to correctly identify faculty members and their department • Assist with survey design to best reflect Keck environment • Understand how to read the survey data and provide support with debriefs and action planning processes
  • Collaborate with all Keck Medicine of USC entities to ensure programs at each location are properly implemented and maintained. • Keck Medicine of USC includes Keck Hospital, Norris Hospital, Verdugo Hills Hospital, Las Vegas Culinary Center, Arcadia Hospital, USC Care and faculty members from Keck School of Medicine work within our environment • Launch and market programs at entities, as budget allows • Collaborate with leads at each entity to ensure programs follow the same protocols
  • Establish relationships with departments throughout the health system and USC to serve as a point of contact for teams in need of support. • Collaborate with a variety of departments within Keck Medicine including but not limited to Development, Communications, Human Resources, Nursing Management and more. • Collaborate with outside vendors including but not limited to massage vendor, Schwartz Center, and more. • Serve on committees that focus on the well-being of staff and faculty throughout USC.
  • Travel to various hospitals/healthcare facilities within the Keck Medicine network maybe required to complete duties
  • Develop content for newsletters, flyers, emails, and other items as necessary to market Care for the Caregiver activities. • Market the Care for the Caregiver offerings to continue to raise awareness and increase engagement in programs
  • Perform other duties as assigned
     

Required Qualifications:

  • Req Bachelor’s degree Degree in a related field
  • Req 2 years Work experience.
  • Req Project planning and project management experience required.
  • Req Familiarity of word processing, Microsoft Outlook, Excel, and PowerPoint Required
  • Req Must be comfortable with computers
  • Req Must have excellent communication skills, including the ability to speak, read and write English proficiently.

Preferred Qualifications:

  • Pref Master’s degree Degree in a related field
  • Equivalent work experience as substitute for minimum education
  • Pref 2 years Experience in the non-profit sector or health setting preferred.
  • Pref Spanish speaking, reading, and writing preferred.
  • Pref Basic knowledge of website building and management preferred.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)

The annual base salary range for this position is $81,120.00 – $133,010.00.
