Special Project Manager – (Los Angeles, California, United States)

Serves as space planning special project manager responsible for overseeing and coordinating all aspects of small to mid-sized projects and supports Senior Project Manager (SPM) directly. Creates project objectives and work scope. Creates and Implements project execution and construction management plans and procedures, and communication and risk mitigation plans. Develops space and project reports required to keep all relevant parties informed on status

Overviews and coordinates planning, design, estimating and monitoring of construction by the vendors to ensure delivery in accordance with Basis of Design, Building codes, Fire, Life and Safety codes and ADA codes. Collaborates with design and construction professionals from various disciplines to ensure successful integration of design and construction and development of drawings and specifications that ensure successful delivery of project within budget and on time.

Job Accountabilities

30%   Project Management: Performs as a special project manager responsible for overseeing and coordinating all aspects of small to mid-sized interior renovation projects. Creates project objectives and work scope, financial estimates, project schedule and obtains Director/SPM of Space Planning approval. Creates and implements project execution and construction management plans and procedures and maintains constant communication with user groups. Ensures project plans and schedules that align with user expectations. Tracks and monitors budget expenditures and ensures projects stay within budget. Acts as a KSOM/owner representative on FMS and CCD implemented projects.

30%    Space Planning: Develops space plan options of varying scale and complexity in accordance with USC Basis of Design, Building codes, Fire, Life and Safety codes and ADA code. Coordinates with KSOM groups to create space program and options; ensures planning aligns with KSOM Space guidelines where applicable and the priorities set by Director/SPM of Space Planning, Dean and COO of KSOM. Produces related drawings and schedules.

15%   Move Management: Coordinates and oversees moves, adds, and changes for occupants and assets. within the Keck School of Medicine for the same.  Creates move plans, and sequencing group-level moves/relocation. Works with vendors, staff and other University entities. Problem solves, answers questions and dictates responsibility when necessary.

15%    Space Planning Processes: Works directly with Director and SPM in establishing KSOM Space planning process improvements and drafting them. Assists in space utilization surveys, annual budget preparation, general administration and selection of building standard Furniture, Fixtures and Equipment (FFE). Trains new staff in space planning processes and Archibus maintenance and updates.

10%    Coordinates Communication Services Requests and Facilities Management Service work orders.  Maintains record of requests and works with staff and university entities to ensure completion. Works with KSOM Finance department in invoice processing.

Performs other related duties as assigned or requested.  The University reserves the right to add or change duties at any time.

The annual base salary range for this position is $84,972.30 $120,000 . Minimum Education: Bachelor’s degree
Minimum Experience: 5 years
Minimum Field of Expertise: Administrative or project administration experience.
