Summary of position

The USC Rossier School of Education seeks a mission-driven Business Analyst with solid administrative assistant skills to join a dynamic team focused on developing adult professional learning opportunities for our community. This position reports to the Associate Dean, Office of Equity and Community Engagement, and it manages the budgets for 12 programs and the expansion of future programs. In addition, it assists the team with administrative work related to each program’s specific needs.

Essential Duties and Responsibilities:

Budget Analyst

  • Supports all budget and administrative support to the Office of Equity and Community Engagement.

  • Prepares all budget accounts for each program

  • Reconcile account balances

  • Processes budget adjustments

  • Generates projections and monthly budget reports

  • Submit payments to internal and external vendors and contractors

  • Manages financial transactions

  • Collects registration fees for certificate and credential programs and continuation education units

  • Prepares and processes purchase orders, requisitions, procurement card requests, consultant payments, and honoraria.

  • Manages and monitors business transactions related to discretionary, gifts and grant accounts. Work closely with all staff to ensure we adhere to all USC and Rossier budget rules and requirements.

  • Monitors budget schedules to ensure timely completion

Administrative Assistant Duties

  • Process transcripts for students

  • Complete Continuing Education paperwork

  • Order supplies for each program and office

  • Data entry for all programs

  • Provide support to Associate Dean

  • Excellent communication skills

  • Works well with teams

  • Good interrelationship skills

  • Attention to details

  • Scheduling of appointments using calendar invites

  • Strong clerical skills

  • Experience working with cross-functional teams

About the Office of Equity and Community Engagement

The Office is responsible for ensuring the Mission statement is part of all aspects of the College. It is focused on building internal partnerships with other USC units and external community partners. The Professional Learning unit offers certificate and credential programs as well as customized professional development for teachers, leaders & administrators in K-12, offices of education, and school leaders.

Qualifications:

  • Bachelor’s degree in a related area in business and/or finance

  • 3 years in a similar or equal position and responsibilities

  • Strong interpersonal communication skills, the ability to maintain effective working

  • Experience with Microsoft Suite of Applications

Desirable Qualifications:

  • Certificate or degrees in account and business practices,

  • Knowledge and experience in WorkDay and SAP Concur

  • Knowledge of SLATE

  • Knowledge of USC Budget guidelines

  • Previous University experience in business and budget offices.

The scope of work can be completed in a hybrid work schedule. This means time in the office will be used to complete essential on-site tasks and to have meaningful interactions with staff members, students and the Rossier/USC community. A schedule
will be agreed upon between you and your supervisor and is subject to change based on business needs and work performance. There will be a dedicated office space that is
shared by you and other members of your team.

The hourly range for this position is $34.43-$38.64. Minimum Education: Bachelor’s degree, Combined experience/education as substitute for minimum education

Minimum Experience: 1 year

Minimum Field of Expertise: Business administration, accounting or related degree and budget experience including knowledge of government and fund accounting. Strong computer skills with use of automated spreadsheets.
