Faculty Affairs Associate – (Los Angeles, California, United States)

The Alfred E. Mann Department of Biomedical Engineering seeks to recruit a Faculty Affairs Associate (Home Department Payroll/Personnel Tech) to join an outstanding team of faculty, staff, and students. Reporting directly to the Department Business Manager, the Faculty Affairs Associate supports all facets of faculty affairs administration, and supports other departmental activity on an as-needed basis.

The Faculty Affairs Associate’s job duties include coordinating faculty hiring, tenure and promotions; managing leaves and sabbaticals; supporting the annual review and salary proposal process; and managing faculty contracts. This position works in close partnership with Viterbi School of Engineering Faculty Affairs Office on all issued pertaining to Faculty Affairs. The position is part of a departmental team that provides a wide range of administrative and project functions, with minimal supervision. 

Primary Responsibilities Include:

  • Serves as the departments resource on faculty affairs
  • Coordinates the departments appointments, promotions, and tenure process
  • Tracks tenure dates, assists in the preparation of dossiers
  • Arranges for timely submission of information and paperwork applicable to the tenure process to the Dean’s Office
  • Coordinates the departments faculty recruitment process
  • Arranges interviews for faculty candidates and coordinates schedules to ensure that all appropriate faculty and administrators interview and assesses candidates.
  • Plans for and advertises candidate seminars
  • Oversees travel and hotel accommodations for candidates
  • Ensures required paperwork and candidate dossiers are available to faculty for interviewing and decision making 

Job duties may be added or modified as needed.

The Faculty Affairs Coordinator is expected to demonstrate impeccable ethics and collegiality, and to promote an environment that fosters inclusive relationships and creates unbiased opportunities for contributions through ideas, words, and actions that uphold principles of the USC Code of Ethics.

This is a hybrid position. The Faculty Affairs Associate is expected to work onsite for a minimum of 3 days per week and is expected to modify their schedule on an as-needed basis to support in-person departmental activity, including Faculty meetings. The Associate may be asked to work fully onsite (5 days a week) to support periods of high-volume faculty activity, for example, during the Spring faculty recruitment cycle and during the dossier review cycle. This position is not eligible for fully remote work.

  

Preferred Qualifications:

  • Preferred Experience: 3 years
  • Preferred Field of Expertise:  Understanding of faculty-related matters (e.g., appointments, promotions, and tenure.  Highly motivated. Experienced in working with faculty in a university environment. 

Additional Information:
